YOUR DATA

Privacy Policy

KieAn Tutorial Center (“KieAn”, “we”, “us”) runs tutorial, class and Kiddie Care programs at branches in Cavite and Laguna and online. We respect your privacy and the privacy of your child. This policy explains what we collect, why, who receives it and the rights you have under the Data Privacy Act of 2012 (Republic Act No. 10173). KieAn is the personal information controller for the information described here.

1. What we collect

  • Parent or guardian: name, email address and contact number.
  • Learner: first name, grade, learning request and any homework or worksheets you attach. For Kiddie Care we also record the type of care and whether it is regular or special needs care.
  • Booking details: your city or town, program, branch or online format, teacher, dates, time and price.
  • Payment: the receipt you upload, if you have already paid.
  • Enrollment forms: information you write on our consent form, such as emergency contacts, health notes and authorized pick-up persons.
  • Messages: what you send us through our Facebook Page.
  • Technical data: our server briefly records the address your request came from and the time, to protect the booking system from abuse. We do not use advertising or tracking cookies (see our Cookie Policy).
  • Location (optional): only if you tap “Use my location” on the booking page. Your browser’s coordinates are sent once to OpenStreetMap to find your town and are not stored by KieAn.

2. Why we use it

We use your information only to:

  • schedule and run the lessons, classes or care you book, and match you with a teacher and branch that serve your area;
  • send your schedule, Google Meet links for online lessons, reminders and updates about your booking;
  • confirm payments and issue official receipts;
  • keep the records that Philippine tax and business laws require;
  • keep children safe, including emergency contact and authorized pick-up checks; and
  • protect our website and booking system from misuse.

We process information because you consent when you book, because it is needed to provide the service you asked for, because the law requires certain records, and, for security, because of our legitimate interest in keeping the system safe. We do not sell your information or use it for advertising.

3. Who receives it

  • Your assigned teacher and KieAn staff, through the teacher’s Google Calendar and a booking email that includes your files and receipt.
  • Google, which runs the calendars, Google Meet and the emails we send. Google may store this information on servers outside the Philippines under its own privacy safeguards.
  • OpenStreetMap, only when you use “Use my location”.
  • Meta (Facebook), when you choose to message us on Facebook; Meta’s own privacy policy applies to those messages.
  • Government authorities, only when the law requires it.

4. Children’s information

Bookings are made by a parent or guardian. We ask only for the learner details we need to teach and care for them, such as first name and grade. Teachers see only the details of the learners they teach.

5. How we protect it

Booking records are kept on KieAn’s booking server and are reachable only through a secure (HTTPS) connection. The admin area is password protected, and the keys that connect teacher calendars are encrypted. Access is limited to the staff who need it. No system is perfectly secure, but we take reasonable organizational, physical and technical measures to protect your information.

6. How long we keep it

We keep booking records, files and receipts for as long as we need them for lessons and for the period required by Philippine tax and business laws. After that, we delete or anonymize them. You may ask us to delete information we no longer need, as explained below.

7. Your rights

Under the Data Privacy Act you have the right to be informed, to access your information, to object, to have it corrected, to have it erased or blocked, to data portability, to be indemnified for damages, and to file a complaint with the National Privacy Commission. You may withdraw your consent at any time; this does not affect processing already done, and we may need to keep records the law requires.

8. Contact us

To use your rights or ask a question, message KieAn on Facebook and include your booking reference (for example, KTC-12345678). We may ask you to confirm your identity before we act on a request, and we aim to respond within 15 working days.

9. Changes to this policy

We may update this policy when our services or the law change. The effective date above shows the latest version. Important changes will be announced on this website.
